Who we are
Emily Odoire Pilates is responsible for the personal information described in this policy and acts as its data controller.
Address: 20 Fontenoy Road, London, SW12 9LU, United Kingdom.
Telephone: 07801 438745.
You can contact us using these details or the website contact form if you have a question about this policy or wish to exercise your data protection rights.
Information we collect
When you submit our contact form, we collect your first name, last name and email address. If you subsequently communicate with us, we may also keep the information you provide and a record of our correspondence.
Squarespace hosts our website. When you visit, technical information may be processed, such as your IP address, browser and device information, pages accessed and the time of your visit. The information collected depends on the website features and your cookie choices. Our Cookie Policy explains this further.
The contact form does not ask for medical or health information. Please do not include sensitive personal information in routine correspondence unless we have agreed a suitable way to provide it.
Why we use your information
We use your contact details to respond to you and manage your enquiry. We also process information as needed to operate and secure the website, prevent misuse, maintain appropriate records and meet applicable legal obligations.
We do not sell your personal information. Submitting our contact form does not subscribe you to marketing communications.
Our lawful bases
For general enquiries and correspondence, we rely on our legitimate interests in communicating with people who contact us and administering our business. We consider your rights and reasonable expectations when relying on this basis.
If you ask us to take steps towards providing a service to you, we process the information necessary for those steps at your request before entering into a contract.
For necessary website security and administration, we rely on our legitimate interests in providing a secure and reliable website. Where processing is necessary to comply with a legal obligation, that obligation is our lawful basis.
If optional analytics using cookies are enabled, we rely on your consent for those cookies and the associated personal data processing. You can withdraw that consent through the website cookie controls. Withdrawal does not affect processing carried out lawfully before withdrawal.
Who may receive your information
Squarespace and its relevant service providers process information to host and operate our website and support its functionality. If contact form notifications are delivered by email, our email service provider also processes the information needed to deliver and store those messages.
Authorised people supporting our website or administration may access information where necessary for their work and subject to appropriate confidentiality and data protection arrangements. Professional advisers or public authorities may receive information where necessary to meet legal obligations or establish, exercise or defend legal claims.
International processing
Squarespace operates internationally and may process personal information outside the United Kingdom, including in the United States. Its published information describes transfer safeguards including applicable adequacy arrangements, the UK Extension to the EU–US Data Privacy Framework and contractual safeguards, including the UK Addendum to the EU Standard Contractual Clauses, as appropriate to the transfer.
For further information, see the Squarespace Privacy Policy and Squarespace data processing terms. Contact us if you would like information about safeguards relevant to our processing or how to obtain a copy.
How long we keep information
We keep enquiry details and related correspondence only for as long as reasonably necessary to respond, complete follow-up and retain a relevant record of the matter. We assess retention by considering whether the enquiry remains active, whether an ongoing relationship exists and whether information is needed for a legal obligation or a potential dispute.
When information is no longer needed, we delete it or anonymise it. Where information remains in service-provider backups, it is removed through the provider's applicable backup retention cycle. Cookie lifetimes are separate from the retention of enquiry records.
Security
We use appropriate technical and organisational measures to protect personal information against unauthorised access, loss and misuse. Access is limited to people who need it for an authorised purpose. No internet transmission or storage system can be guaranteed completely secure.
Your rights
Depending on the circumstances and applicable law, you can ask to access your personal information, correct inaccurate information, erase information, restrict its use or receive certain information in a portable form. These rights are subject to conditions and legal exceptions.
Right to object: You have the right to object to processing based on our legitimate interests for reasons relating to your particular situation. We will stop unless we have compelling legitimate grounds that override your interests, rights and freedoms, or the information is needed for legal claims.
Where we rely on consent, you can withdraw it at any time. Contact us by telephone, post or the website contact form to make a request. We may need proportionate information to verify your identity. We normally respond within one month; where the law permits more time, we will explain why and tell you the applicable timescale.
Providing contact form information is voluntary and is not a statutory requirement. If you do not provide an email address or sufficient identifying details, we may be unable to respond or handle your enquiry effectively.
We do not use contact form information to make decisions producing legal or similarly significant effects about you solely by automated means.
Complaints
Please contact us if you are concerned about our use of your information. You also have the right to complain to the Information Commissioner's Office, the UK's data protection regulator, at ico.org.uk/make-a-complaint. You do not have to contact us first to exercise that right.
Changes to this policy
We may update this policy to reflect changes to the website, our processing or applicable requirements. The latest version and its update date will appear on this page.
